•Preferably young part time student or recent graduate;
•Strong Administrative skills, proven with experience;
•Exceptional Telephone- and Client Interaction Skills, must be very well spoken;
•Must be exceptionally organised, able to multi-task, and stay calm under pressure;
•Must have a financial understanding of calculations, eg. Calculating gross profit;
•Experience on Excel essential
•Experience on Pastel Partner very advantageous

JOB DESCRIPTION:
Switchboard, Quotes-, Office- and Sales Administrator

•It will be the responsibility of the employee to welcome all clients and guests at reception.
•All incoming calls will be handled by the employee, which includes transfers and messages;
•The employee will be responsible for:
•building the Medicare brand by presenting the company in a professional, efficient and helpful manner – at all times giving the best possible service and attention, and building relationships with frequent callers;
•always returning clients calls on time and in a friendly manner;
•following up on any outstanding quotes, orders, technical difficulty the client might be experiencing, and ensuring the matter is dealt with as soon as possible and the client kept up to date;
•for keeping record of all contacts, telephone numbers and email addresses on Medicare’s hospital- and frail care list of clients, in the Region, and regularly updating this contact list.
•The employee will be responsible for handling incoming sales enquiries, and email quote requests from customers and prospects. The employee will be responsible to use proactive email communication, to complement telephone or in-person communication with customers, and to follow up with all enquiries. The employee will use approved email templates and attachments, and if uncertain, will have to first confirm all outgoing correspondence.
•The employee will be responsible to assist the external sales consultants on the road with incoming quote requests from their clients.
•Quotes must be checked by management before being sent out.
•The employee will be responsible for the filing and weekly management of the sales consultant’s quotes – follow up, give feedback to management;
•The employee will be responsible to follow up weekly on all quotes that have gone out, as to what feedback the client can offer us on pricing, technical specifications, and on whether or not we can change anything about our offer to make them take up the deal.
•Manage the info@medicare-hosquip.co.za incoming mails for quotes and who does which quotes, so there is no duplication.
•Update Pastel system pricelists (monthly project) with cost prices and selling prices;
•Update Medicare Excel Pricelist monthly with our import product prices, by using the average prior month’s exchange rate (as per the Reserve Bank), as well as any updated local supplier prices.
